
Ventura County Rose Society
Board Meeting
January 24, 2005
Attendees: Jim Delahanty, Jane Delahanty, Dawn-Marie Johnson, Joanne Smith,
Earl Holst and Sharon Graeter. Those not in attendance: Cindy Maestro,
Pat Moomey and Janet Sklar.
The meeting was brought to order at 6:20 pm.
- Old Business:
- Newsletter Compilation - Brian Keele is willing to put the newsletter
together for free for a few months but then starting in March wants a fee of
$75.00 per month. There was a lot of effort made to try to get a member to
do the newsletter with no one willing to take on the task. The newsletter is
our primary form of communication with most of the members of VCRS therefore
we need to continue the high quality currently done. A motion was made and
seconded to pay Brian $75.00 per month if due dates are met. Motion passed
unanimously.
- Newsletter content - Members currently supply all of the articles for the
newsletter. The newsletter is currently 12 pages. In the future it makes
sense to print the amount of material that we have for any given month. A
motion was made and seconded to give discretion to the newsletter editor
print the newsletter at 8 pages if that is all the material that has been
submitted. Motion passed unanimously. A motion was made to print the
newsletter primarily in black and white to save printing costs. The motion
passed unanimously.
Any extra issues printed will be used for outreach events.
- Storage Issues - The society has accumulated inventory over the years that
has needed to be stored. The Jennings stored on their property, then
Dawn Marie stored at a shed at her neighbors. Ingrid now has it stored at a
hangar at Camarillo airport but we may lose this storage facility at any
time. The cost to purchase space can be upwards of $700 per year to rent.
The items would be used primarily to do a rose show. A motion was made and
seconded to offer the bulk of the items to "Fair Friends of Roses" with the
proviso that we may be able to borrow them if we were to do a rose show
again. The motion passed unanimously.
- Auction - The income from the Auction can be broken down as follows:
Silent Auction: $427.00, General Sales: $253.00, Shirts and Memberships:
$70.00 with the balance coming from the sale of the roses. The grand total
is approximately $5300.00
Jim Delahanty will send thank you's to those donating roses. There was very
good publicity, we have received offers to donate roses for next year
already. A major issue for next year's fund raising is whether or not there
will be a Rose Auction. For the past 4 years, the same 4 people have stepped
up to make the auction happen but they have now burned out.
- Budget - If we do not have members who will step up in the future to put on
the auction, how will the society fund raise in the future? The auction
raises approximately 60% of the annual funds needed to run the society. A
motion was made and seconded to change the line in the budget titled "Rose
Auction" to "Fund Raiser" and to change the donation to $3,000.00
putting the balance in the reserve fund. The motion passed unanimously.
- Meeting Format - A suggestion was made in deference to any speaker coming to
speak at our meetings to move any business discussion to the end of the
meeting.
- New Business:
- Fund Raiser - There will need to be additional discussion with the membership
around what type of fund raising will be done in the future.
- Tours - Dawn-Marie is working on a local member tour to be held in April and
a Historical Rose Gardens tour to be held in the Fall.
- CR Activities - There will be a Seminar February 26th for those who are
interested in becoming Rosarians. Kay and Bert Grant will be putting on a
program in March. Rose Day (a national event) will be in April celebrated
locally on April 30th at the Loews Home Improvement Center located on Main
Street in Ventura.
- Programs - There is currently no program set for the meeting in April. In
addition, if there is no Rose Auction in January, 2006, an additional
speaker will need to be lined up for that meeting.
The meeting was adjourned at 8:00 pm.

- The Meeting Minutes are appended to include the following Board decisions:
- The Appointment of Officers was adopted by the Board on January 3,2005.
Those voting in the affirmative were Dawn-Marie Johnson, Joanne Smith,
Jane Delahanty, Earl Holst and Cindy Maestro.
- A motion was made by Earl Holst to approve the budget. It was adopted on
January 28,2005 Joanne Smith seconded the motion. Those voting in
the affirmative were Pat Moomey, Jane Delahanty and Dawn-Marie Johnson.
- The purchase of a commemorative brick as part of the campaign to fund the
ARS Education and Visitor Center in Klimia Hall, Shreveport was approved
on March 1,2005. The inscription to read: "Ventura County Rose Society".
Those voting in the affirmative were Janet Sklar, Jane Delahanty, Joanne
Smith,
Dawn-Marie Johnson and Pat Moomey.
