Board Meeting Minutes
October 3, 2005

All members were present except Sharon Graetor (traveling in Germany) and Jane Delahanty (working late; proxy to JD). The meeting began at 6:10 p.m.
- The president introduced the question of purchasing another brick in the Stagecoach Inn Rose Garden walkway. The Historical Society will purchase a brick for the Livesays, who were the garden managers from 1994 to 1999. The
VCRS was asked to purchase a brick commemorating Jeri and Clay Jennings, the garden designers in 1994. Dawn-Marie Johnson moved that the VCRS underwrite the cost of doing this; Cindy Mastro seconded. The motion passed unanimously.
- The question of assuming the responsibility for adopting the ‘Guadalupe Volunteer’ rose in the San Jose Heritage Rose Garden was considered. A couple of years ago, one member of the VCRS anonymously adopted this rose in honor of the VCRS. The cost of maintaining the rose and the placard is $45 a year. This anonymous member has now suffered financial and physical reverses and is no longer able to sustain the upkeep of the rose and the placard. She asked that the Board consider adopting the rose. Dawn-Marie Johnson moved, and Earl Holst seconded that the VCRS pay for the rose for calendar year 2006.
The motion passed unanimously.
- Three persons were nominated and accepted by consensus to be the recipients of the ‘Attas’ awards at the December Holiday party.
- The successful fall garden tour was lauded as an example of what the society does best at times. The Treasurer decided to attribute the moneys from the raffle to the Tour as opposed to the raffle. Although all of the checks have not been cashed, it appears that the tour will make a tidy profit. Currently, the society has an operational balance of over 8 thousand dollars.
- The cost of the newsletter with the inevitable rise in printing and mailing elicited a vigorous discussion. The Board recommended setting up a list of people willing to receive the newsletter by e-mail; currently, the yearly cost per member for the newsletter is over 30 dollars, while the dues remain at 15 dollars a year. It is hoped that enough people will opt for electronic newsletter delivery to make a dent in that deficit. The President indicated that the a newsletter link was being sent to those on the VCRS e-mail list for the Fall months with the hope of eliciting a positive response for a survey of those wiling to get electronic newsletter delivery in November.
- The Nominations Committee Chair Joanne Smith indicated that all offices have been filled except for President and Vice President for 2006. After much discussion of possibilities, the Board decided to continue calling people and to make another appeal for candidates at the October meeting as well as in the monthly e-mail.
No new business appearing before the Board, the President thanked all of the Board members for their individual and collective contributions for 2005 and the meeting adjourned at 7:45 p.m.
